Expiring docs/MOT: one expiry, no trip

Licence, ADR, insurance, MOT, visa — if one expires, the truck isn't legal. Cascading reminder system (60/30/14/7 days).

Identification cards fanned out in an open leather wallet, one marked with a red ribbon — the near-expiry indicator.

Around 20 documents / certificates / permits can stop a truck from rolling. All with different expiry dates, different renewal processes, different responsible owners. If one expires: trip cancelled + customer lost + possible fine.

Industry case: A single cancellation = €500–2,000 customer loss + fine risk. Insurance expiry is the worst — the truck gets immobilised.

The limit of manual tracking

An Excel “expiry” column is the common solution. Two structural limits:

  1. Passive view. No alerts unless Excel is opened.
  2. Not driver-centric. Drivers learn their own licence/medical has expired through the ops centre.

Cascading reminder system

Lognari runs a tiered reminder for each document:

ThresholdActionWho
60 daysReminder emailOperations coordinator
30 daysMobile alert + dashboard flagCoordinator + driver
14 daysCritical alarm (SMS)Coordinator + driver + HR
7 days”No trip assignment” flagAutomated

Owner mapping:

  • Driver licence / medical: the driver (HR supports)
  • ADR / SRC: driver + HR
  • Tachograph card: driver + fleet manager
  • Green Card insurance: finance + fleet manager
  • MOT: fleet manager + workshop
  • ATR / EORI: export manager

Impact by fleet size

FleetAnnual cancellation prevention€ equivalent
100 trucks4–8 cancellations€4,000–€16,000 + customer satisfaction
300 trucks12–24 cancellations€12K–€48K + lower coordination load
1,000 trucks40+ cancellations€40K+ + insurance-premium negotiation

Side effect: driver retention

Pushing renewal anxiety onto the driver is one of the biggest satisfaction killers. Lognari’s coordinator-supported process removes that load → pilot fleets see retention +9%.

What’s next

If you had one trip cancelled in the last 12 months because a document expired, you need a tiered reminder system. A 30-day pilot digitalises the whole renewal chain.

Frequently asked

Which documents are tracked?
Driver licence, SRC certificate, ADR (hazardous), medical, tachograph card, Green Card insurance, MOT, ATR/EORI, EU transit permits, visas (Schengen, RU, Belarus), passport. Each gets its own threshold.
How is the renewal owner assigned?
At the 60-day threshold, an owner (HR coordinator, ops centre, driver) is auto-assigned. Process steps (appointment, paperwork, payment, delivery) are tracked separately.
What happens when a document actually expires?
The system marks the truck or driver 'not trip-eligible'. Ops centre can't assign trips; manual override requires explicit approval + reason. An audit log entry is created.

From command screen to field flow

Stop watching the operation. Run it.

From the command screen in the office to the driver's field flow, let's uncover the invisible losses together. In the first call we will analyze, side by side, which losses become visible across your vehicle, route, fuel, border, finance and driver data.
